SUMMARY OF POSITION:
The Warranty Administrator plays a crucial role in ensuring the efficient management of and warranty claims and take off parts inventory within the Bay & Bay trucking division/shops. This position is responsible for maintaining accurate records of processing warranty claims, and coordinating with suppliers to ensure timely delivery of parts. The administrator will also analyze warranty data to identify trends and areas for improvement, ultimately contributing to cost savings and enhanced operational efficiency. By effectively managing these processes, the Warranty Administrator supports the overall goal of maintaining high-quality service and reliability in our fleet operations. This role requires a detail-orientated individual who can work collaboratively with various departments to ensure seamless operations.
POSITION RESPONSIBILITIES & ACCOUNTABILITIES:
Day-to-day responsibilities include but are not limited to
- Process warranty claims in a timely manner, ensuring compliance with manufacturer guidelines
- Coordinate with suppliers and vendors to order parts and resolve issues for equipment at outside facilities.
- Analyze warranty data to identify trends and recommend improvements to reduce costs
- Collaborate with all maintenance teams to ensure parts availability and support fleet reliability
- Review and seek corrections of warranty paperwork from multiple repair facilities
- Maintain detailed records of all warranty claims, generating reports on claim activity, and ensuring accurate documentation
- Maintain up-to-date knowledge of warranty policies and procedures
- Maintain and coordinate training for the technicians
- Assist new driver onboarding team with orientation and truck assignments
- Assist Road Service with closing of vendor repair and purchase orders
- Must be able to travel when necessary, would be minimal.

REQUIRED QUALIFICATIONS & COMPETENCIES:
- High school diploma or equivalent
- Proven experience in parts management or warranty administration
- Strong organizational skills and attention to detail
- Proficiency in using inventory management software (TMT) and Microsoft Office Suite
- Strong analytical skills and experience with data analysis tools
- Strong and respectful communications
- Ability to work in a team environment
- Ability to lift 50+lbs with proper lifting tools and techniques
